Current agency setups mean banks of schedulers sifting through huge numbers of caregivers and constantly having to call them to try and staff a shift. Often the data that is kept on record is not particularly clean making it a hit or miss scenario if the schedulers will even be able to reach the desired caregiver. As a result of an inefficient process, bad habits would also be formed meaning the agency was not utilizing its caregiver workforce optimally.
As part of a larger eco-system, the CareConnect app was designed to be the wingman for every caregiver. Through the persistent connection to the agency management system, agency schedulers and staff have a constantly open connection to feed possible shifts to caregivers that they can request or decline. This means flow of staffing the shifts is far more fluid and efficient. Additionally, the agencies can facilitate managing caregiver compliance and deliver required in-service training through the app.
Remembering usernames and passwords was a real problem for caregivers. In order to eliminate the need for memorizing usernames and passwords while still maintaining the security needed, we developed a flow that used a unique magic link that would gain the user access to the app once profile information is matched and verified.
To handle the many moving parts that a caregiver must be on top of we created an activity view that is the heart of the application. From this view our caregivers can view their upcoming shifts, view, and respond to shifts they have been invited to by any agencies they are connected to, as well as stay on top of their profile completion and training offered through the app. The result is the caregivers start to become the owners in managing their own compliance to work and the work they want to take on.
Caregivers get access to their own profile information and unique profile information stored for any agency they are connected to. This allows then to make sure that the required contact information is up-to-date and correct and their compliance information is all up-to-date allowing them to be ready to work at any time. They can also set their own preferences for shift matching including distances and methods of travel to and from shifts and any relevant skills and training that may help match to more relevant shifts at the agencies.
As a process of inviting and requesting is required before any shift can be assigned to a caregiver, there are multiple views of a shift detail that are driven dynamically by the status of that shift. Depending on the visible step of the process different information is visible and suppressed to comply with privacy rules. As shifts flow into the app the caregiver can respond quickly and easily to request or decline shifts allowing the agencies to assign quicker and more confidently.
